How it works
SkoolMob, step by step.
Head of school, bursar, discipline master, teacher, parent, student and third-party verifier: each finds their own gestures here. Every operation happens in the Android application, from opening the classes to publishing the report cards.
Head of school
Open the school, run the year, publish the report cards.

Set the school up at the start of the year
- Management tab → Structure. The screen shows the MINESEC catalogue filtered by your establishment type.
- For each level or stream you want to open, set the expected number of divisions (for example: 3 divisions of 6ème, 2 divisions of 5ème…).
- A summary bar at the bottom shows the difference between the current state and the target structure.
- Confirm. The classes are created in batch from the MINESEC catalogue, with their official subjects and coefficients already attached.

Import staff and hand out invitations
- Management → Staff → 'Import'. Download the Excel template shown on the screen, fill in your teachers and administrative staff, upload.
- The app automatically generates an invitation code for each person, listed under Staff → Invitation codes.
- Use 'Export list' to print the codes and hand them out in the staff room.
- On first login, each person enters their code, sets a password, and lands on their space.

Import students and generate parent linking codes
- Management → Students → pick the target class → 'Import'. Download the Excel template, fill it, upload it.
- Internal matricules are generated automatically in the YYLXXXX format. The national matricule is entered by hand if available.
- From the class record, generate the PDF of parent invitation codes (8 characters per student) and hand it to the families.
- Photos can be added afterwards from each student's file, one at a time or in bulk.

Assign teachers to class-subjects
- Open a class from Management → Classes → detail.
- People tab → Teachers tab → 'Assign'.
- Pick the subject and the teacher. The official coefficient is proposed by default, adjustable if your school has derogations.
- From that point on, the teacher can only enter grades on the class-subjects actually assigned to them.

Follow then close a sequence
- Grades tab → Administration section → Sequences. Terms are collapsible, each sequence shows its state and coverage.
- Open a sequence to see coverage subject by subject: who has entered grades, who still needs a reminder.
- When coverage is complete, close the sequence. Averages, ranks and cotes are computed automatically.
- If an error is reported after closing, the administration can reopen the sequence. The calculations are redone automatically.

Generate and publish a class's bulletins
- Bulletins tab → Administration section → pick the class and the period.
- Tap « Generate ». One PDF per student and one merged PDF, ready for class printing, are produced in a single pass.
- Check one or two report cards, then tap « Publish ». Each publication triggers a notification for linked parents and an SMS for households without the app.
- A published report card can be unpublished at any time if a correction is needed. The operation is timestamped and attributed.

Publish the fee schedule and open the accounts
- Home tab: while no schedule exists, the tile 'No fee schedule set for this year' offers 'Configure'. Afterwards the schedule opens from Manage → Tuition, with the 'Open the fee schedule' icon.
- Tap 'Create a schedule'. Give it a name and choose what it applies to: the whole school, a level or a class. When several schedules could apply, the most specific one wins.
- Add one line per fee (registration, tuition, PTA levy…) with its amount, then the instalments with their amount and due date. 'Split evenly' shares the total across the instalments.
- Tap 'Publish' once the calendar adds up. Back on the schedule, tap 'Open accounts': every enrolled student covered by a schedule gets an account, and the cash desk can take payments.

Assign classes to the discipline master
- Manage → Staff → open the discipline master's record.
- In the 'Classes covered' section, open 'Assign the classes'.
- Choose 'The whole school', or narrow it 'By level' or 'By class' when several discipline staff share the school.
- Confirm. Until a class is assigned, their Discipline tab stays empty.

Correct a tuition account
- Manage → Tuition → tap the student concerned.
- For a scholarship, a sibling reduction, a waiver or a penalty, tap 'Discount', pick the kind, enter the amount and the justification, then 'Grant'. The balance is recomputed.
- For a wrong receipt, tap 'Cancel' on that receipt and give the reason. The receipt is marked cancelled, never deleted: the numbering keeps no gap. The correct amount is then taken again.
- To remind families, open the student list, tap 'Select overdue' then 'Remind'. These corrections need the right to manage tuition, which is separate from the right to take payments.

Take payments, hand over receipts, keep the cash book.

Take a payment
- Students tab. Search for the student by name or student number, then tap their row.
- The record shows the balance still to pay, the payment calendar and the receipts already issued. Tap 'Take payment'.
- Enter the amount received, the method (cash, MTN MoMo, Orange Money, transfer), the name of the person paying and their phone. The amount cannot exceed what the family still owes.
- Tap 'Confirm'. The numbered receipt is issued at once, and the parent receives an SMS with the receipt number and the balance left.
- Taking a payment needs a connection: the receipt number is assigned by the server and is never used twice.

Hand over a receipt
- On the student's record, in the 'Receipts' section, find the payment.
- Tap 'Share': the receipt goes out as a PDF, over WhatsApp or to a printer.
- A receipt is never edited. If it is wrong, the head of school cancels it with a reason and a new receipt is issued.

Close the day's cash
- Cash book tab. The cash book lists the receipts issued today.
- Count the cash and check it against the cash book.
- The Home tab repeats the amount 'Taken in today' and the number of receipts.

Follow recovery and arrears
- Home tab: the 'Recovered this year' rate, the amount overdue, then recovery by instalment and by class, the furthest behind first.
- Tap the 'Overdue' counter to open the list of students concerned, or a class to see its accounts only.
- Families in arrears are reminded automatically, at three moments tied to each instalment: a week before it falls due, the day after and a fortnight after. A family with nothing overdue is never reminded.
Discipline master
Registers, the gate, excuses.

Call a class register
- Discipline tab. Pick the day in the strip at the top: recent school days stay open, so a paper sheet handed in late can still be keyed in.
- Each class on your beat shows 'Not called' or 'Taken'. Tap the class.
- Mark absent pupils only: 2 h, 4 h or 6 h in one tap, or the number of hours on the keyboard. 'Late' flags a pupil who arrived late. Present pupils stay blank.
- Tap 'Validate'. For every pupil newly marked absent, the linked parent receives an SMS and a notification, once per day of absence.
- Without a connection the register stays on the phone and goes out on its own when the network returns. Validating a register again replaces it, without telling families twice.

Record late arrivals at the gate
- Discipline tab → 'Late arrivals'.
- Type the pupil's name or matriculation: the search covers every class at once.
- Tap 'Record'. The pupil joins the list of late arrivals recorded this morning.

Handle excuses
- Discipline tab → 'Excuses'. The counter shows how many absences are waiting on a decision.
- For each absence, tap 'Excuse' or 'Refuse'.
- An excused absence moves to the excused-hours column of the report card. The decision needs a connection.

Print register sheets and the term report
- Discipline tab: on a class row, tap 'Sheets' to produce its blank register sheets as a PDF.
- For the class council, open the class register, tap the ⋮ menu at the top right, then 'Discipline report — term 1', 2 or 3.
- The PDF is saved on the phone; tap 'Open' to view or print it. It is produced by the server and needs a connection.

Enter grades for an assessment
- Open the Grades tab. The list of your class-subjects appears.
- Tap a row to open the class. The current sequence is preselected, with the coverage rate visible.
- Tap 'New assessment', pick the type (class test, homework, composition) and the /20 scale.
- Enter grades student by student. Associating a competency is optional.
- Confirm. If the network is available, the grades are sent immediately. Otherwise they are stored on the device, flagged as pending, and sent on their own when the connection returns.

Check statistics for a class-subject
- From the open class-subject, go to the Statistics tab.
- The application shows the class average, the grade distribution and the breakdown by cote.
- The result stays readable offline once it has been computed a first time.

Publish an announcement to my class
- Open the Communication tab, then My announcements.
- Tap 'New announcement'. Enter the title and content.
- Select the target classes. The recipient count is shown before sending.
- Publish. Linked parents receive the notification on their phone.
Parent
Stay connected to school life.

Link to your child with the invitation code
- Install the app from the Play Store, pick the Parent role when creating your account.
- The school handed your child a printed 8-character invitation code. Enter it on the linking screen.
- Linking is immediate: your child appears in your application.
- Without a code, submit a request with the child's internal registration number and date of birth. The school approves the link.

View your child's bulletin
- The Bulletins tab lists published bulletins, most recent first.
- If you have several children, pick the one concerned from the dropdown.
- Tap the report card you want. The PDF opens in the app, with its verification QR code in the footer.
- Download it to keep it offline, print it or share it.

See the sequential grades
- From the child's record, open the Grades tab and pick the sequence.
- The app shows grades per subject, the weighted average and the rank.
- Grades already loaded stay visible without a connection.
Student
Your school, in your pocket.

Check your averages and your bulletin
- The Grades tab shows the per-sequence averages, subject by subject.
- The Report cards tab lists published report cards, termly and end-of-year.
- The PDF downloads and stays available offline, which helps for enrolment paperwork.

Follow the school's announcements
- The Communication tab receives announcements targeted to your class, your cycle or the whole school.
- A notification arrives as soon as an announcement is published. Announcements already received can be reread offline.
Third-party verifier
Confirm a bulletin in one scan.

Verify a PDF bulletin's authenticity
- Scan the QR code in the report card footer with the phone camera. No account and no installation are required.
- verify.skoolmob.com opens and confirms the issuing school, the student, the period and the key results, exactly as printed on the document.
- If the report card has since been unpublished, verification fails: the document no longer stands.
